Terms and Conditions

1. Introduction

These Terms and Conditions govern your use of the GetRachel service, provided by SoHot Property London Ltd (company registration number 10315493), a company registered in England and Wales, trading as GetRachel (getrachel.co). By subscribing to GetRachel, you agree to these terms in full.

References to "we", "us" or "GetRachel" mean SoHot Property London Ltd. References to "you" or "the client" mean the individual or business subscribing to the service.

2. The Service

GetRachel is an AI-powered voice quoting assistant for UK tradespeople. The service allows you to call a dedicated phone number, dictate job details, and receive a branded PDF quote automatically generated and delivered by email.

The service includes:

  • A dedicated Rachel phone number assigned to your account

  • A personalised setup — Rachel is configured with your business details, rate card, and pricing structure

  • AI-powered quote conversation and data extraction

  • Automated branded PDF quote generation

  • Quote delivery by email for your review and approval


We reserve the right to improve, update, or modify the service at any time. We will notify you of any material changes that affect how you use the service.

3. Plans and Pricing

3.1 Setup Fee

A one-off setup fee of £99 (inclusive of VAT where applicable) is charged on signup. This fee covers the configuration of your Rachel account, personalised onboarding, and system setup.

3.2 Starter Plan

The Starter plan is priced at £147 per month. This plan includes all features described in Section 2.

3.3 Pro Plan

The Pro plan is priced at £397 per month. This plan includes all Starter features plus additional services as described on the GetRachel website at the time of your subscription.

3.4 Annual Payment Option

Clients on the Starter plan may choose to pay annually at a rate of £1,470 (equivalent to 10 months' subscription — a saving of 2 months' fees). Annual payments are taken upfront and are non-refundable except as set out in Section 6.

3.5 Price Changes

We reserve the right to change our pricing. We will give you no less than 30 days' written notice of any price increase. You may cancel your subscription in accordance with Section 5 if you do not accept the new pricing.

4. Payment

Payment is taken monthly or annually in advance by the method selected at checkout. All prices are in GBP and are inclusive of VAT where applicable.

If a payment fails, we will notify you and attempt to collect payment again. If payment remains outstanding after 7 days, we reserve the right to suspend your service until the outstanding balance is settled.

We use third-party payment processors to handle all transactions. Your payment details are not stored by GetRachel.

5. Cancellation

5.1 How to Cancel

There is no minimum contract term. You may cancel your subscription at any time by giving us 1 month's written notice by email to [email protected]. Your service will continue until the end of the notice period, after which it will be terminated.

5.2 Monthly Subscribers

If you are on a monthly plan and cancel, you will continue to have access to the service for the remainder of your current billing period plus the 1-month notice period. No further charges will be taken after that.

5.3 Annual Subscribers

If you are on an annual plan and cancel, your service will continue until the end of your paid annual term. We do not offer refunds for unused months on annual plans, except as set out in Section 6.

5.4 Cancellation by Us

We reserve the right to cancel or suspend your account with immediate effect if you breach these terms, use the service for unlawful purposes, or fail to pay outstanding invoices.

6. Setup Fee, Refunds and Cooling-Off

6.1 Setup Fee

The £99 setup fee is non-refundable once onboarding work has commenced. Onboarding work includes any configuration of your Rachel account, system setup, or onboarding call.

6.2 Early Commencement Waiver

By requesting that we begin your setup and onboarding immediately upon signup, you acknowledge that you are waiving your statutory 14-day cooling-off right in respect of the setup fee. This waiver is confirmed at the point of purchase. If you do not wish to waive this right, please contact us at [email protected] before completing your purchase and we will delay commencement accordingly.

6.3 Subscription Refunds

Monthly subscription fees are not refundable once a billing period has commenced. If you cancel mid-month, you retain access until the end of that period and the notice period as described in Section 5.

6.4 Exceptions

We will issue a full refund of any fees paid if we are unable to deliver the service due to reasons within our control, or if we cancel your account without cause.

7. Your Obligations

By subscribing to GetRachel, you agree to:

  • Provide accurate business and contact information during onboarding

  • Use the service only for legitimate business quoting purposes

  • Not share your dedicated Rachel number with parties outside your business

  • Inform your customers, where required, that their details may be processed to generate a quote

  • Comply with all applicable laws, including UK GDPR, in your use of the service


You are responsible for reviewing every quote before it is sent to your customer. We are not liable for inaccuracies in quotes that you have approved and forwarded.

8. Data and Privacy

We process your personal data and the data of your customers in accordance with our Privacy Policy, available at getrachel.co. By using the service, you agree to the terms of our Privacy Policy.

You remain the data controller for any personal data relating to your customers. We act as your data processor for that data, processing it only to deliver the service. A Data Processing Agreement is available on request.

All calls are recorded for quality and quoting purposes. Call recordings are retained for 12 months and then securely deleted.

9. Intellectual Property

All intellectual property in the GetRachel service, including the software, AI systems, workflows, and branding, belongs to SoHot Property London Ltd. Your subscription grants you a non-exclusive, non-transferable licence to use the service for the duration of your subscription.

Any content you provide to us (such as your logo, rate card, and business details) remains your property. You grant us a licence to use it solely for the purpose of delivering the service to you.

10. Limitation of Liability

GetRachel is a quoting assistance tool. We do not guarantee the accuracy of every quote generated, and we are not liable for any loss arising from a quote that you have reviewed, approved, and sent to a customer.

To the maximum extent permitted by law, our total liability to you in any 12-month period shall not exceed the total subscription fees paid by you in that period.

We are not liable for any indirect, consequential, or economic losses including loss of profit, loss of business, or loss of revenue arising from your use of the service.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.

11. Service Availability

We aim to provide a reliable, available service but we do not guarantee uninterrupted access. The service depends on third-party providers including Retell AI, Twilio, Anthropic, and others. We are not liable for downtime or disruption caused by third-party service failures.

We will notify you as soon as reasonably practicable of any significant service disruption and will work to restore the service promptly.

12. Dispute Resolution

If a dispute arises between us, both parties agree to attempt to resolve it informally in the first instance by contacting [email protected].

If the dispute cannot be resolved informally within 14 days, both parties agree to attempt mediation before initiating any legal proceedings. Either party may propose a mediator; if no agreement is reached on a mediator within 7 days, the Centre for Effective Dispute Resolution (CEDR) will be asked to appoint one.

If mediation fails, disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales, and these terms shall be governed by the laws of England and Wales.

13. General

These terms constitute the entire agreement between us in relation to the service and supersede any prior representations or agreements.

If any provision of these terms is found to be unenforceable, the remaining provisions shall continue in full force and effect.

We may update these terms from time to time. We will notify you of material changes by email. Continued use of the service after the effective date of any changes constitutes acceptance.

These terms do not create any partnership, agency, or employment relationship between us.
